Passenger Terms & Conditions

1. Operator Licence & Legal Status

Galactic Cars Ltd is a licensed Private Hire Operator regulated by Transport for London (TfL). All bookings are accepted and confirmed by Galactic Cars Ltd only. The contract for each journey is between the Passenger and Galactic Cars Ltd, not the driver. All drivers are licensed private hire drivers authorised to carry out bookings accepted by the Operator.

2. Booking & Contract Formation

A booking is only confirmed once it has been accepted by Galactic Cars Ltd and confirmation has been issued. The contract between the Passenger and Galactic Cars Ltd begins at the moment the booking is accepted. We reserve the right to refuse or cancel any booking at our discretion where necessary for safety, operational, or legal reasons.

3. Fares & Payment

Fares are agreed at the time of booking unless stated otherwise. Additional charges may apply for waiting time, parking, tolls, congestion or ULEZ charges, extra stops, and cross-border journeys. For cross-border travel, including ferry and Eurotunnel crossings, the passenger must cover both outbound and return crossing costs for the driver, even for drop-off journeys. These charges are separate from the quoted fare and must be arranged and paid by the passenger. For cash bookings, full payment must be made upfront before the journey begins; however, we strongly recommend online payment for security and convenience. We accept cash, bank transfer, Stripe, PayPal, or other approved payment methods. Bank transfer details will be provided upon request.

4. Waiting Time

Where waiting time is included, it will be confirmed at the time of booking. Additional waiting time beyond the agreed allowance will be chargeable. If the Passenger fails to attend the agreed pick-up location after reasonable waiting time, the journey may be treated as a cancellation and the full agreed fare may be charged.

5. Cancellations

Cancellations must be made as early as possible. Late cancellations may incur a charge. If a driver has already been dispatched at the time of cancellation, a cancellation fee will apply. Failure to attend the pick-up location without prior notice may result in the full fare being charged. Bookings cancelled within four hours of the scheduled pick-up time are strictly non-refundable.

6. Passenger Responsibilities

Passengers are responsible for providing accurate booking details and ensuring they are ready at the agreed pick-up time. Passengers must treat the driver and vehicle respectfully and must not engage in abusive, threatening, or unsafe behaviour. Any damage caused to the vehicle by the passenger or members of their party must be paid for in full. Children must be properly supervised at all times. We do not provide child seats. Passengers must bring their own child seat where legally required.

7. Driver Conduct & Refusal of Service

All drivers hold valid TfL private hire licences and appropriate insurance. Drivers are required to operate safely and professionally at all times. A driver may refuse to carry any Passenger who appears to be intoxicated, poses a safety risk, behaves in an abusive or threatening manner, or attempts to exceed the legal seating capacity of the vehicle.

8. Luggage & Lost Property

Passengers are responsible for ensuring that their luggage is suitable for the vehicle booked. Galactic Cars Ltd is not liable for loss or damage to luggage unless caused by proven negligence. Items left in the vehicle are the Passenger’s responsibility. Lost property will be returned where possible, and an administrative or delivery charge may apply.

9. Delays & Circumstances Beyond Control

We will make reasonable efforts to ensure punctuality. However, we are not liable for delays caused by traffic conditions, road closures, accidents, weather conditions, or other circumstances beyond our reasonable control. Passengers are advised to allow sufficient time for airport transfers and important appointments.

10. Limitation of Liability

Our liability is limited to the value of the booked journey. We shall not be liable for indirect or consequential losses. Nothing in these Terms limits or excludes liability for death or personal injury caused by negligence or for any other liability that cannot be excluded under UK law.

11. Data Protection

Personal information is processed in accordance with our Privacy Policy and in compliance with UK data protection legislation. Booking details will only be used for the purpose of providing the requested service and fulfilling legal obligations.

12. Complaints & Governing Law

Any complaints should be submitted in writing within seven days of the journey. We will investigate and respond within a reasonable time. These Terms and Conditions are governed by the laws of England and Wales, and any disputes shall be subject to the jurisdiction of the English courts.
