Driver Standards & Guidance

Galactic Cars Ltd

This page provides practical, operational and regulatory guidance to support drivers working with Galactic Cars Ltd. It is designed to help you remain compliant, professional and efficient while operating in London and on long-distance journeys.

1. TfL Licensing & Legal Compliance

All drivers must hold a valid Private Hire Driver Licence issued by Transport for London. You are responsible for ensuring your driver badge, vehicle licence, insurance and MOT remain valid at all times. Operating without valid documentation is a serious offence.

2. Professional Conduct

Drivers must act in a polite, calm and professional manner at all times. Confirm the passenger’s name before departure and avoid inappropriate or controversial discussions. Your behaviour reflects directly on the company.

3. Passenger Assistance & Luggage

Drivers are expected to open the boot and offer reasonable assistance with luggage. Items must be secured safely before travel. You are not required to lift excessively heavy or unsafe items that may cause injury. If necessary, explain this politely and request assistance.

4. Vehicle Standards

Vehicles must be clean, roadworthy and free from warning lights. Heating, ventilation and air conditioning must function correctly. The boot must be clear and ready for passenger luggage. Strong odours or clutter are unacceptable.

5. Safe & Responsible Driving

Drivers must comply with UK traffic laws and drive smoothly at all times. Harsh braking, aggressive acceleration and distracted driving are unacceptable. Passenger safety is the highest priority.

6. Airport Pick-Ups & Drop-Offs

When collecting from airports, follow official parking and pickup procedures. Always check live updates before arrival.

7. Long-Distance & Cross-Border Travel

Drivers must ensure they receive full crossing details in advance of departure.


Drivers are responsible for ensuring they carry valid travel documentation at all times. This includes a valid passport, appropriate EU vehicle insurance cover, and compliance with entry requirements for the destination country.


Before departure, drivers must confirm:

•Passport validity meets EU entry rules
•Vehicle insurance covers European travel
•Required safety equipment is carried where legally necessary
•Mobile roaming access for navigation and communication


In all EU countries, the emergency number is:

112 – Police, Fire and Ambulance
Drivers must prioritise safety, allow sufficient rest breaks for long-distance journeys, and monitor traffic or border updates before travel.


Cross-border work requires planning, professionalism and full regulatory awareness.


Toll Charges:

All motorway tolls, congestion charges, environmental zone fees and similar road charges incurred during cross-border or long-distance journeys are payable by the passenger in addition to the agreed fare.
Drivers must keep receipts where applicable and report any toll charges to the operator for confirmation.

8. Insurance & Documentation

Private hire insurance must remain valid at all times. Drivers are advised to maintain breakdown cover, especially for long-distance journeys.

9. Handling Complaints & Incidents

If a passenger raises a complaint, remain calm and avoid confrontation. Report the matter to the operator promptly. All incidents will be reviewed fairly and professionally.

10. Data Protection & Confidentiality

Passenger information must be treated as confidential. Do not share booking details or personal data. Drivers must follow UK data protection regulations.
